The General Data Protection Regulation (“GDPR”) has specific requirements in relation to how we communicate with our members and how we store any personal data from our members. We have therefore developed a Privacy Policy in accordance with guidance provided by the Information Commissioner’s Office (ICO).

Maidstone Horticultural Society (MHS) is committed to protecting and respecting privacy and is responsible for storing and processing members’ data in a fair, lawful, secure and transparent way.

What personal data do we hold about you?

When you join the Society, we require member’s name, address, telephone number(s) and email address (where applicable).

Why do we need it?

We hold this information to be able to administer the membership of the Society, which includes:

  • Communicating with members to inform about the society talks, shows, outings and other society events which may interest our members
  • Processing membership forms and payments
  • Records of show entries and competition winners
  • Records of outings, meetings and show participation

With whom do we share your data?

MHS will not share your personal information with any third party. If our policy changes, the Society will notify members in advance and obtain members’ express written consent.

How long will we hold your data?

We will hold members’ data for as long as the individual is an active member with the Society. Data will be destroyed within two years, or sooner, if in receipt of written notification to leave the Society.

Your rights regarding your personal data

As the data subject, members have the right to request access to, changes to, or erasure of personal data by contacting our Membership Secretary, and to complain to the UK’s data protection supervisory authority, the Information Commissioner’s Office, about the processing of personal data if you feel the Society have used it for a purpose not stated above.
